Keeping track of group trip expenses

How do your groups keep track of trip expenses? We generally take turns paying for stuff and then try to add it all up later...which is always sort of a headache. I've thought about using a kitty, where everyone throws in some cash, but it's usually just easier to use a credit card at the pump, etc. Or maybe having a kitty and using only one person's credit card so that person can add it up easily after the trip is over. We normally split gas and food evenly as we all tend to use about the same of each...

For us, everyone pays there own meals and gas. One person pays for the room and divides it equally with as many people that are along. That is about as fair as it gets. If we have to trailer somewhere, the passengers usually pay any gas that is put in after leaving home. Unless it is a really long trip, then gas is split equally.

We pay our own gas. It varies too much between sleds- my 800 sucks a lot more fuel than the 500. We also do meals separately. If there are just a few of us, we take turns with rounds of drinks. Last trip w/ a big group, we did the kitty and it was much easier. Everyone put in $40 at the first stop- bartender could just run a tab, I'd pay at the end. The bartenders usually like this way for a big group as well, easier than going to the register for change in between each drink.

tried that and i got screwed.now it's everyone for themselves except for food at the cabin.that's an expense that is controllable.

We split the cost of fuel for the truck, split the cabin rate between however many are staying, the rest you are on your own. Some drink more than others, some sleds use more gas than others. Some eat more than others.

Depends on the group I am riding with. I ride with a lot of Business associates and some want to pay the meals while others want to pay the gas. It gets hairy sometimes. I usually take the room charges and put on a card then divide it up. I pay my own gas. and most all meals except for some dinners are paid by smurfrider who also's insists. we take turns on rounds of drinks. House rum is about the same as a tall beer. The kitty idea never works yet it sounds good. Sleds take different amounts of gas. what if one guy needs oil? is that part of the gas? yes/no/maybe so. Always get the big meal spenders with a kitty. We stick to burger baskets or Pizza. On the "kitty" idea we have run out of money deep into a trip and we had to pass the hat again and we had guys say, I don't have any more money to put in. then it gets messy. Depends on the group. Best to cover this in detail before the trucks hit the road.

When we go up one guy pays for the cabin...gas...and anything else that needs to be split with the whole group. At the end he divides it up and we all pay him. We usually get a few grocerys that we split....beer...pop and snacks you are on your own though.

there is usually 1 guy who comes empty handed and uses the most.I find constant ridicule all yr round will do the trick it can take a trip or 2 but at some point when every one around them is heckling them about being a tight arss they have to look in the mirror.or else were the badge with pride and stay home[Bob you reading this you tight wad]has the wife let you get your name on the checkbook yet?

We have a guy like that too! His wife monitors his every move with us by his credit card activity. She has his account brought up on the computer the whole time we are gone. The minute the restaurant swipes his card his computer goes "Ding" we count (at the table) to 10 sometimes 20 and his cell phone rings. He has to leave the table to deal with her. That has to be horrible for him. and we rag him on top of it. He's a good guy but zips his pants from the back.

My group does the same thing. Its the easiest way for us.

We also agree with Skylar's method. Keeps friendships healthy. Some abused the money when we pooled our money. They would eat more expensive meals, and all others would start to have some animosity. Works better for all involved to pay their own way after transportation up, and cabin stay. Oh we do pot luck food, every one brings something.

the group i mostly ride withe we each throw in a 100 and use it for everything. that 100 is gone throw in another it works out pretty well with us since everyone has about the same taste in beer food and sleds.

after yrs of trips with diff guys I now always have my own truck and trailer if you ride with me you pay your share of the truck gas I pay my share of the cabin and always ask for my own tab at the bar and restaurant.I am no longer or ever was in to the collective thing some guys always gets the short end of the $500 stick and 1 guy takes a trip for $150bucks eating prim rib burning 93 sleeping in the master right bob .

Glad to know I am not the only one burned by pooling. I like the Prime rib and sled likes 93 octane and prefer to pay for my own. With pooling money the guys move into top shelf liquor and pitchers go to the way side. Most the guys are fine but we all know at least one.
