When is it acceptable to cancel or reschedule due to poor conditions?

A few friends and I have reservations for the 9th-11th in Western UP, this thurs-sat. My question is would I be in the wrong to ask about canceling and trying to reschedule due to poor conditions? Are conditions rather poor now? I see it is supposed to be a little cooler by then with a chance of snow but it does not appear to be much. I do realize there is ride able snow, and other people are riding and so on. We are 13 hours away. I want to go but the thought of having to ride on really bad conditions just because my card will be dinged otherwise is not a good feeling. I do not believe in trying to cancel without just cause, it's just I don't know what constitutes "poor conditions" if I have to press the issue. Thanks.

In my opinion you would have every right to cancel and hope for better conditons. I have done it before and not regreted it. Next week does sound cooler but the western UP will need some meaningful snows to get back into good shape again. 13 hours away is a long way to come for marginal conditons... good luck!

Cancelling the day before your arrival would have been a little dicey, but 4 days before, not a problem. If you read the cancellation rules, I would bet you're easily in the acceptable time frame to cancel. I highly doubt you're the only one getting cold feet. If it's a respectable place, they'll fully understand.
 
I don't think its a big deal if you read their cancellation policy. If you're outside the 48 hours or whatever it is you're fine. If you cancel inside of that time frame, plan to pay. Either way I think you're fine.

Even if you do come, you must realize that EVERYONE is riding the U.P. Don't expect perfect trails.

That is by no means a gripe against the groomers, they just have no way to keep up with the traffic.

Where are you staying? The warm weather sure didn't melt any snow. The twin lakes area has so much snow, the warm weather softened up the snow and created one heck of a nasty ride. It's supposed to get cold again mid/late next week and supposed to start snowing again. Couldn't groom the trails mid-day when its 50 degrees. Saw lots of guys riding in tshirts LOL

Just an fyi the best trails I've ridden yet this year (have 1350 miles on this year) were this morning in the land o lakes, watersmeet, kenton area...

What we say does not mean anything. Cancellation policy is between you & resort & all are different. Good luck.

quick update: Just called and they were very understanding had no problem rescheduling. Timberline has been a fine bunch to work with so far. Thanks for the feedback!

This is question is a good one, like whitedust said all are different. I have sometimes had to go to the proprietor of certian establishments and ask for my ( some of ) money back. If it starts to rain ???? Conditions become unbearable. Even if it stops the trails are ice. Always uncomfortable to pull out early or cancel. But at the end of the day when we bring all out sleds, rigs , 1/2 our houses ect... I do look for premium conditions. This year makes it tough, just not enough snow for everyone. I have had places keep a 1 day charge and if I dropped the reservation same day ( oh well ) that's the price I pay. That is how I ended up in the W-UP the 1st time many years ago. The central / eastern UP had a melt down, John had reported 14=15 " of fresh snow around lake Gogebic and we litterally were cancelling some reservations and making new ones 5 minutes before we left " the Man Kave " ....

There is alot to be considered when driving that kind of distance....

We just stayed 3 nights at Elberts in St. Germaine, we were booked to stay 4 nights. We asked if we could cancel our fourth night (Sunday) and they had no problems in allowing us. We were COMPLETELY ready to pay for the night regardless since it was so late to cancel. Honestly, a resort that showed us understanding when they probably could have said no and charged another $350 bucks, we will be back to stay again.
